COI tracking & renewal chasing
COI Sentinel collects, verifies, and chases certificates of insurance from every subcontractor and vendor on your roster — checking limits, endorsements, additional-insured wording, and waiver of subrogation, not just expiry dates — and chases renewals before they lapse.
Free to start: we audit 15 of your certificates and show you exactly who is exposed. No contract, no obligation.
The problem
Typically 15–30% of the sub certificates on file at any given firm are expired, under-limit, or missing required endorsements — and nobody finds out until a claim hits and the carrier points at the gap. By then, the loss lands on you.
Policies lapse mid-project while the sub keeps working. An expired cert means no coverage behind that sub's work — and your own policy absorbs the hit.
The cert exists, but the limits don't meet your contract requirements. A $1M policy on a job that required $2M leaves the difference on your balance sheet.
No additional-insured endorsement, no waiver of subrogation, wrong certificate holder. The COI alone doesn't grant those rights — the endorsements do.
How it works
Forward what you have — a spreadsheet of subs, a shared folder of PDFs, even a stack of emailed certs. No cleanup needed on your end; sorting it out is our job.
We check your first 15 certificates free against your stated requirements and send a plain-English report: who's expired, who's under-limit, who's missing endorsements.
On an ongoing plan, every sub and vendor goes on the watch list. We request renewals before expiry, follow up until compliant certs land, and flag anyone who goes dark.
What we verify
A certificate is only a snapshot. We verify each field on the ACORD 25 form against the requirements in your contracts — and chase the actual endorsements, not just the cert.
The issuing carrier and policy number on every line of coverage, recorded so a claim can be traced to the right policy fast.
General liability, auto, umbrella, and workers' comp limits compared line-by-line to the minimums your contracts require.
Every policy's effective and expiration dates tracked, with renewal requests going out before the lapse — not after.
We confirm the endorsement itself is on file — the cert's checkbox alone doesn't make you an additional insured.
Checked on the lines your contracts require, so a sub's carrier can't come back after you for a loss their insured caused.
Your company named correctly as certificate holder, with the description of operations matching the work being performed.
Who it's for
Every tier of sub on every job, held to the insurance exhibit in your subcontracts — without your PMs or office manager spending Fridays chasing PDFs.
Landscapers, HVAC, plumbers, janitorial, security — every vendor who steps onto a property you manage creates liability for you and your owners.
Pricing
No long contract to find out whether this pays for itself. One uninsured incident costs more than years of this service.
Your full roster's certificates audited and loaded, with a complete gap report and the first round of renewal chases sent.
Continuous tracking and chasing for your whole roster, locked at the founding rate for early customers. Final tier set by roster size during the pilot.
FAQ
No. We flag gaps against your stated requirements — we are a tracking and chasing service, not an insurance broker, and we don't sell coverage. When a sub's policy falls short, we chase the sub (and their agent) for compliant paperwork; coverage decisions stay with you and your broker.
Send us 15 certificates from your files. We check each one against your stated requirements — insurer, policy number, limits per line, expiry, additional-insured endorsement, waiver of subrogation, and certificate holder — and report back within 48 hours with exactly which subs are exposed and why.
However you have them: email attachments, a shared drive folder, or a spreadsheet of subs and we'll request the certs directly. Email justinkkirby@gmail.com or call (619) 627-8466 and we'll set it up in one conversation.
We escalate through a set chase sequence — email, then direct follow-up — and flag the sub to you as non-compliant with the full history of attempts. You decide whether they keep working; you just never decide it blind.
Roster size. The founding rate is $219/mo for smaller rosters up to $299/mo for larger ones, set during the $99 pilot week so you know the exact number before anything recurs. The founding rate is locked for early customers.
No setup fee and no long-term contract. Start with the free gap report or the $99 pilot week; ongoing service is month-to-month.
Send 15 certificates, get a gap report in 48 hours. If your files are clean, the report proves it. If they're not, you'll know before a claim tells you.

This policy explains what information we collect when you use this website, contact us, or receive communications from us — including phone calls and text messages placed through Bland AI, the automated voice and messaging platform we use for outreach and reception — and how that information is used, shared, and protected.
We use Bland AI to place and receive phone calls and to send and receive text messages on our behalf from our business line, (619) 566-3235. When you speak with us, you may be speaking with an AI voice agent rather than a person; the agent identifies the business it is calling for. Calls may be recorded and transcribed, and recordings and transcripts are processed and stored by Bland AI on our behalf. By providing your phone number to us, or by continuing a call or text conversation with us, you consent to receive calls and texts — including automated calls and texts placed through Bland AI — at that number for the purposes described in this policy. Message and data rates may apply. You can opt out of text messages at any time by replying STOP, opt out of calls by telling the agent or contacting us, and get help by replying HELP. Opting out stops marketing and outreach communications; we may still contact you about an active service engagement.
We do not sell your personal information. We share information only as needed to run the service:
We keep certificates, compliance records, and communication logs for as long as needed to provide the service and maintain your compliance history, and delete them on request where the law allows. We use reasonable administrative and technical safeguards, but no system is perfectly secure, and we cannot guarantee absolute security.
You may request access to, correction of, or deletion of your personal information, and you may opt out of calls and texts as described above. California residents have additional rights under California law, including the right to know what personal information we hold and to request its deletion; we do not sell personal information, so there is nothing to opt out of on that front. To make a request, contact us at justinkkirby@gmail.com or (619) 627-8466.
If we change this policy, we will post the updated version on this page and revise the effective date above. Continued use of the service after a change means you accept the updated policy.

By using this website, contacting us, or engaging COI Sentinel's services, you agree to these Terms of Service and to our Privacy Policy. If you do not agree, do not use the service.
COI Sentinel collects, verifies, and tracks certificates of insurance from your subcontractors and vendors against the requirements you provide, and chases renewals and missing endorsements on your behalf. We are not an insurance broker, agent, carrier, or law firm. We do not sell, place, or advise on insurance coverage, and nothing we report is legal or insurance advice. Our gap reports and compliance flags are based on the documents and requirements you give us; the accuracy of our findings depends on the completeness and accuracy of that material. Final coverage and compliance decisions remain yours, in consultation with your broker and counsel.
We communicate by phone and text using Bland AI, an automated voice and messaging platform, from our business line (619) 566-3235, as well as by email and our main line. By providing a phone number or engaging with us by phone or text, you consent to:
Reply STOP to any text to opt out of text messages, or tell us by phone or email to stop calls. Opting out does not cancel an active paid engagement; contact us directly to cancel service.
The free gap report covers 15 certificates at no charge. The one-week pilot is a one-time fee of $99. Ongoing service is billed monthly at the rate confirmed with you during the pilot ($219–$299/month at founding rates), is month-to-month, and may be cancelled at any time effective at the end of the current billing period. Fees already paid for a period in progress are not refundable except where required by law.
The service is provided "as is." We work carefully, but we do not warrant that every gap, lapse, or deficiency will be detected, and we are not responsible for losses arising from a subcontractor's or vendor's lack of insurance coverage. To the maximum extent permitted by law, our total liability for any claim arising from the service is limited to the amounts you paid us in the three months before the claim, and we are not liable for indirect, incidental, or consequential damages.
These terms are governed by the laws of the State of California. We may update these terms by posting a revised version on this page with a new effective date; continued use of the service after an update constitutes acceptance. Questions about these terms: justinkkirby@gmail.com or (619) 627-8466.
